From automatic document capture to intelligent categorization - the AI works in the background and saves your team valuable time. Unlike simple rule-based systems, the AI understands the context of your data. It recognizes patterns in invoices, suggests appropriate accounts, and can even analyze unstructured documents such as delivery notes or contracts and extract relevant information. ### Intelligent Document Analysis Upload invoices, delivery notes, or other business documents and the AI automatically extracts all relevant data: amounts, line items, sender information, dates, and reference numbers. Even handwritten notes and inconsistent layouts are reliably recognized. ### Matching payments to orders Bank transactions that reference and amount cannot settle on their own go to the model for an opinion. It proposes an order, and you define the confidence at which a proposal is accepted without a question. Anything below that lands in a list for review. ### Assistants that know your data An assistant gets tools rather than general knowledge: find orders, create contacts, comment on a ticket, look something up in the knowledge base. Which tools it may use is defined in an allow list, and its access to data follows the same permissions as the user it acts for. In practiceWhere the AI actually works --------------------------- ### The pile of purchase invoices Invoices that carry neither ZUGFeRD nor any other structured form are read out: supplier, number, date, positions, VAT rates. A scan works too, because the model sees the image and not only the text. What is finally posted is still confirmed by a person. ### A chat on your own website An embeddable widget puts an assistant on your own site that answers from the knowledge base. It sees only the articles released for that purpose, so internal documentation does not become public by accident. ### Costs you can actually see Every conversation is recorded with what it cost. At the end of the month you can tell which feature consumed how much, instead of having to interpret one aggregate invoice from the provider. SetupOne connection, one purpose, one boundary ----------------------------------------- You configure a connection per provider with its key, its model and whether it runs in the cloud or locally. Several connections side by side is the normal case, a fast one for short tasks and a local one for anything sensitive. Then purposes are assigned to connections. Reading documents can be pinned to the local connection while a general assistant is allowed into the cloud. That mapping is the lever for data protection and not a detail at the margin. Reading PDF files needs a text extraction program on the server. Searching your own content adds an embedding service and the search index. ### Requirements - An account with a provider, or a locally hosted model - A decision on which purpose runs on which connection - A text extraction program on the server - An embedding service for searching your own content - The knowledge base package for the knowledge assistant LimitsWhat the AI cannot and should not do ------------------------------------ Models are not retrained on your data. The package sends requests to existing models and gives them tools and context. What does not come out of it is a model that gets a little smarter with every corrected invoice. The package generates no images, and the embeddings for search are not produced inside the ERP but by a service you provide. That service can run locally too, but it is a decision of its own. What an assistant may do is defined in an allow list, and what is not on it, it cannot call. That is deliberate: an AI allowed to do everything in an ERP is not an advantage but a risk.
