A quote becomes an order with one click, and the order confirmation, delivery note and invoice are print views of that same record. Lines, prices, discounts, delivery state and payment state stay in one place and are never copied from document to document. Besides the regular order, Nuxbe handles credit notes, returns, split orders, collective orders, subscriptions and purchase orders to suppliers. Every order type draws its numbers from its own number range per tenant, and an invoice is locked when it is printed, so its content cannot change afterwards. FeaturesWhat the module does in detail ------------------------------ ### Documents and order types Every stage of a sale is a print of the same order, so quote, delivery note and invoice always agree. - Quote, order confirmation, delivery note, invoice, pro forma invoice and final invoice as print views - Turn a quote into an order, an order into a credit note or a return - Collective orders from several orders, and purchase orders to suppliers with their own document - Send documents by email from a template, download them as PDF or print them straight to a network printer - Have documents signed digitally through a link, with a notification once signed ### Partial delivery and partial invoicing Not every order is delivered and billed in one go. - Split order from selected lines or from a percentage of all lines - Delivery state from open through ready for delivery and partially delivered to delivered - Pro forma invoice and final invoice for down payments - Returns from the lines that actually come back ### Lines, prices and margin - Discount per line as a percentage, and discounts on the whole order as a percentage or an amount - Price lists per customer with a parent list, rounding, net or gross and discounts per category - Alternative lines, free text and headings, and bundles with sub lines - Purchase price, gross profit and margin per line and for the whole order - Commissions for sales agents by user, customer, product or category, with commission credit notes ### Subscriptions and recurring invoices - Subscription orders from which a scheduled run creates, prints and emails the invoice - Notice period and minimum term - Cancellation immediately or at the end of the current period - Purchase subscriptions for recurring supplier invoices ### Status, approval and control - Order states draft, open, in review, in progress, ready for packing, ready for delivery, done and canceled - Payment states open, in payment, in a payment run, partially paid and paid - The invoice number is assigned on printing, after which the invoice is locked - A delivery lock or an exceeded credit line on the contact blocks invoicing while it applies - Approval by a responsible person, who is notified - Every change is recorded in the order's activity log ### Interfaces and add-on packages - REST API to read, create and update orders and lines, secured by API tokens - E-invoices in the XRechnung 3 profile through the ZUGFeRD package - Shipping labels for DHL, UPS, FedEx and DPD through the shipping package - Orders from Shopware 6 through the Shopware package In practiceHow an order runs through Nuxbe ------------------------------- A customer asks for an offer. You create a quote and pick the contact, and the quote takes over that contact's payment type, payment target, cash discount and price list right away. Lines come from product management with sales price and purchase price, so the margin is visible while you are still quoting. For options the customer should choose between, you add alternative lines that do not count towards the total. When the customer accepts, you turn the quote into an order and email the order confirmation from the same record. If only part of the goods ships right away, you create a split order with exactly those lines, print its delivery note and invoice the rest later. Printing the invoice takes the next number from the number range and locks the document. From then on the invoice is an open item. When the payment arrives in the bank account, payment matching assigns it to the invoice. If it does not arrive, dunning takes over. Where the module stops ---------------------- Nuxbe has no separate invoice document type. The invoice is a print view of the order that receives its invoice number when it is printed. To correct a printed invoice you create a credit note instead of editing the invoice. The currency is stored on the order, but Nuxbe records an exchange rate only when a payment is assigned, not on the order itself. There are no webhooks; external systems read the current state through the API. Frequently asked questions -------------------------- How does a quote become an invoice? The quote is turned into an order and all lines carry over. From the order you print the order confirmation, delivery note and invoice. Printing the invoice assigns the invoice number and locks the document. Can I deliver and invoice in parts? Yes. A split order can be created from selected lines or from a percentage of all lines. For down payments there are pro forma and final invoices. Does Nuxbe support recurring invoices? Yes, through subscription orders. A scheduled run creates the invoice, prints it and sends it by email. Notice period and minimum term are configurable. Can Nuxbe create e-invoices? Yes, with the ZUGFeRD add-on package. It embeds the structured invoice data in the XRechnung 3 profile into the invoice PDF. Is there an API for orders? Yes. The REST API supports reading, creating, updating and deleting orders and their lines, secured by API tokens.
